Trinity United moves off Dropbox and rebuilds its office IT

Trinity United recruits, fabricates and delivers industrial projects for mining, energy and construction clients from its base in Perth's south. Its files lived in Dropbox, some PCs ran Windows Home and the office internet was not built for a business. We moved it all onto Microsoft 365 properly, with a cutover planned around the people in the field.

01The challenge

Where Trinity started

Trinity had grown into a group with recruitment, maintenance and fabrication arms, but its IT still looked like a small office. Dropbox held years of quotes, safety documents and rosters. Some PCs were on Windows Home. Staff in the office and in the field needed the same files, with the right people seeing the right folders.

Files everywhere, permissions nowhere

Everyone could see everything in Dropbox. Management needed full access, while the operations team only needed quotes.

PCs outside the business

Windows Home cannot join Entra or take business policies, so those devices sat outside proper management.

A cutover that could not stop work

Field staff reference files all day. A half finished migration would have been worse than none.

Microsoft 365, set up the way it should be

Trinity was already paying for Microsoft 365 Business Premium. We made it do the work.

Dropbox to SharePoint

The Operations library, about 445 GB across 93,000 files, moved to SharePoint with folders mapped to how the team works.

Access by role

Entra security groups for Operations and Management, applied and checked with PowerShell so access stays right.

Business grade internet

A UniFi Dream Router 7, a DrayTek modem and a 100/40 Aussie Broadband NBN service.

Every PC joined to Entra

Home editions upgraded to Pro, Windows 10 moved to Windows 11, devices joined to Entra and profiles carried across.

Backups for Microsoft 365

Dropsuite backups for email and files, licensed and configured.

A phone line that works

The office extension brought back to life with a firmware upgrade and a fresh SIP setup.

03How we delivered it

Plan, test, cut over when it is safe

Step 1

Plan

Scope agreed with Trinity's operations manager and a new router staged before it went on site.

Step 2

Design access

Folders and permissions mapped to real roles, then tested with test accounts before any data moved.

Step 3

Prepare people

A SharePoint landing page, a one page guide and a cutover date set around field rosters.

Step 4

Call it early

When the Dropbox transfer slowed to a crawl on cutover day, we moved staff back to Dropbox for the day rather than go live with missing files.

Step 5

Go live

Transfer finished and checked, security groups applied and our engineer on site to get everyone working.

Today
