Switching IT provider

Switching IT provider, without the disruption

Most of a handover happens where your staff cannot see it. They keep working while we learn your systems, take over from your current provider and put our tools in place. About four weeks later the help desk number changes, and that is most of what they notice.

01How it works

Four weeks, mostly behind the scenes

The top line is what your staff see. Everything under it is our work, done alongside your current provider until go live.

What your staff notice

  1. Business as usualStaff keep working and keep the support they have today. Nothing changes on their computers.
    Weeks 1 to 3
  2. New help desk detailsA short welcome email with how to reach us. That is the first change most staff notice.
    Week 4

What we do behind the scenes

  1. Kick off and discoveryWe meet your key people, then record every device, account, licence and site.
    Weeks 1 and 2
  2. Handover from your old providerWe request the admin access, documents, licences and vendor contacts, and chase them.
    Weeks 1 to 3
  3. Monitoring goes on quietlyOur monitoring and security tools are installed alongside the old provider's, out of hours.
    Weeks 2 and 3
  4. Security baselineMFA on every account, endpoint protection on every device, backups checked with a test restore.
    Weeks 3 and 4
  5. Go liveThe help desk switches to us and the old provider's tools and access are removed.
    Week 4
  6. Review with youWhat we found, what we fixed and a roadmap with costs for the year ahead.
    By day 90

A typical handover for a business of 10 to 50 people. Larger or multi site businesses take a little longer, and we agree the go live date with you up front.

02For your staff

What changes for your team

Less than most owners expect. Their tools, files and logins stay put. What changes is who picks up the phone.

Stays the same

  • Their computers and phones
  • Their email, files and Teams
  • How they sign in to Microsoft 365
  • The software they use every day
  • Your internet and phone numbers

Changes

  • Who they call or email for help
  • A short welcome email with the new help desk details
  • A one off MFA set up on their phone, if it is not on already

03Your old provider

You give notice. We do the chasing.

Most of the risk in a switch sits with the outgoing provider: admin accounts only they know, a domain registered in their name, licences in their portal. So we take that off your plate.

Once you have given notice, we request everything in writing, check it works and follow up until it is in your business's name. If something is missing, we work with Microsoft, the domain registrar or the software vendor to get it back.

What we collect from them

  • Admin accounts and passwords
  • Microsoft 365 admin and licence transfer
  • Domain and DNS logins
  • Firewall and network settings
  • Backup access and the last test restore
  • Software licences and vendor contacts
  • Documentation and the asset list

Thinking about switching?

Book a 15 minute call. We ask what you have today and when your current agreement ends, then map out the handover.

04Before you give notice

Six things to check first

None of these take long, and each one makes the handover smoother, whoever you move to.

01

Your notice period

Your agreement with your current provider sets how much notice to give. We plan the go live date around it.

02

Who owns your domain

Your website and email domain should be registered to your business, not your provider. It is a two minute check.

03

Who holds admin

Someone in the business should have a Microsoft 365 global admin login, even if they never use it.

04

Your key software

List the accounting, practice or job management software you rely on and who supports it.

05

A quiet month

If you can, avoid end of financial year, month end or the middle of a big project.

06

A note to your team

A short message that IT support is changing soon and there is nothing they need to do yet.

05The first 90 days

What you get in the first three months

A handover is the chance to fix what has drifted. These happen for every new managed client.

01

Monitoring from week two

Devices, servers and backups are watched from early in the handover, so problems are caught before staff notice them.

02

A security baseline in month one

MFA on every account, endpoint protection on every device and backups proven with a test restore.

03

A review by day 90

What we found, what we fixed, the risks still open and a roadmap with costs for the next 12 months.

07Questions

Switching questions

What owners ask before they change IT provider. Anything else, call 1300 787 429.

01

How long does it take to switch IT provider?

About four weeks from kick off to go live for a business of 10 to 50 people. Larger or multi site businesses take a little longer. The date your current agreement ends usually decides the go live date, so we plan back from it.

02

Will switching cause downtime?

It should not. Most of the work happens in the background while your current provider is still in place. Anything that needs a restart or a change on a computer is done out of hours, and the old provider's access is only removed once ours is working.

03

Do I need to tell my current provider?

Yes. You give notice under your agreement with them, which also sets the timing. After that we deal with them for the admin access, documentation, licences and vendor contacts, so you do not have to.

04

What if my current provider is slow to hand things over?

It happens. We chase in writing, and if something is still missing we work with Microsoft, your domain registrar or the software vendor to get access back in your business's name.

05

What happens to our email and files?

They stay where they are. Your Microsoft 365, email and files do not move. We take over looking after them, and check the backups with a test restore.

06

Not ready to switch yet?

Start with a free IT health check. We look at your current setup and security and tell you plainly what we would change, whether you move to us or not.
