Most of the work happens before cutover, so the move itself is short. Staff keep working in the old location until the switch.

A site and library map agreed with you, plus access groups and naming rules. The design sets the fixed price.

Pilot and cutover
One team moves first so we can adjust. Then files copy in the background, with a final sync out of hours and the old location made read only.

04Before you move
What to plan for before a migration
SharePoint suits most business files well. These are the limits and trade offs we check before anything moves.
- 01Path length
The full decoded path, including the file name, cannot exceed 400 characters in SharePoint and OneDrive.
- 02Storage
Your organisation gets 1 TB of SharePoint storage plus 10 GB for each licence. A business with 25 licences starts with about 1.25 TB, so large archives need a plan.
- 03Very large files
SharePoint accepts single files up to 250 GB, but big CAD models and point clouds can still open slowly over the internet. Some firms keep those on a file server or in our Perth private cloud.
- 04Permissions
Search and Copilot show people everything they can already open, so access needs fixing during the move rather than after it.

01How much does a SharePoint migration cost?
It depends on how much data you have, how many permissions need rebuilding and whether you want an intranet as well. We audit first and give you a fixed price before any work begins, so you know the cost up front.
02How long does it take, and will staff lose access to files?
Staff keep working in the old location until cutover, and the final switch happens out of hours. Mowbray Architecture moved over a weekend. Larger businesses usually move one team at a time. The design step gives you dates before we start.
03Should files live in SharePoint, OneDrive or Teams?
Shared business files belong in SharePoint. OneDrive is for each person's own working files. Teams stores channel files in that team's SharePoint site, so the two work together. We write down the rules so everyone follows the same pattern.
04Can we keep our existing folder structure?
You can, but it is rarely the best choice. Most server folders grew over years and would carry the same permission problems into SharePoint. We keep what works, flatten what is too deep and split very large areas into separate sites or libraries.
05Are we locked into ongoing support afterwards?
No. A migration is a fixed price project. If you want us to look after SharePoint afterwards, it is part of our managed IT plans.
06We have an in house IT person. Can you work with them?
Yes. Many projects run alongside an internal IT person who knows the business best. We do the design, migration and permission work, then hand over documentation so they can manage everyday changes.
