Microsoft Purview
Microsoft Purview and data loss prevention, switched on properly
Most businesses already pay for parts of Microsoft Purview and never turn them on. We find where your sensitive information lives, label it, set data loss prevention rules for email, files and devices and keep an eye on what they catch, using the licences you already have where we can.

- TestMode first for every rule, before anyone is blocked
- FixedPrice for the rollout after a short review
- ISO27001 certified, audited every year
- Top 50MSP in Australia, 2024 to 2026
Trusted by businesses across WA

01What Purview does
The parts of Purview that matter to a business your size
Purview has a long list of features. These are the ones we set up most, in roughly the order we set them up.
Sensitivity labels
Mark files and emails as public, internal or confidential. Confidential ones can be encrypted so they stay protected even when forwarded.
Data loss prevention
Rules that warn or block when tax file numbers, bank details or confidential files are about to leave the business.
Retention
Keep what you must keep for the years the law requires, and delete what you no longer need.
Audit and eDiscovery
Find who opened, shared or deleted what, and pull together emails and files for a dispute or investigation.
Insider risk
Spot unusual activity, such as someone downloading large numbers of files before they resign.
AI data protection
See and control what sensitive information goes into Copilot and other AI tools. See AI security.
02Your licences
What is in your plan and what is extra
This is how the main Purview features sit across Microsoft 365 plans in October 2026. We confirm it against your tenant before we quote.

03How we roll it out
From a scan of your data to rules that stick
Purview projects fail when every rule goes live on day one. Ours start quiet and tighten as we learn how your business works.
- Find
Find sensitive data
We scan email, SharePoint and OneDrive for tax file numbers, bank details, health information and client files.
- Label
Agree the labels
Three or four labels in plain language, with the right protection on each one.
- Test
Run rules in test mode
Data loss prevention rules record what they would have caught, so we can tune them before they act.
- Enforce
Switch them on
Warnings first, then blocks where the risk is high, with a way for staff to explain a genuine need.
- Review
Watch and adjust
Alerts are reviewed and rules adjusted as your business changes.

Paying for Purview and not using it?
Start with a Purview review. A technical consultant will show you what your licences include, where your sensitive data sits and what to switch on first.
04Data loss prevention
Data loss prevention without the noise
A data loss prevention rule that blocks every second email gets switched off within a week. The aim is to catch the handful of mistakes that matter: the spreadsheet of client tax file numbers sent to a personal address, or the confidential tender uploaded to a file sharing site.
Purview already knows what Australian tax file numbers, Medicare numbers, driver licence numbers and bank account details look like. We add your own patterns, such as client file numbers, and point the rules at the places your sensitive information actually lives.
What we usually protect first
- Tax file numbers and bank details
- Medicare and health information
- Client files labelled confidential
- Payroll and HR records
- Board and tender documents
- Anything heading to personal email or AI websites

06Questions
Microsoft Purview questions
What owners and IT managers ask before switching Purview on. Anything else, call 1300 787 429.
01What is Microsoft Purview?
Purview is the set of Microsoft 365 tools for finding, labelling and protecting sensitive information: sensitivity labels, data loss prevention, retention, audit, eDiscovery and insider risk. Parts of it are in most business plans already, usually switched off.
02Is Purview included in Microsoft 365 Business Premium?
Partly. Business Premium includes sensitivity labels applied by people, data loss prevention for Exchange, SharePoint and OneDrive, retention, standard audit and standard eDiscovery. Data loss prevention on computers and in Teams chats, automatic labelling and insider risk need a Purview add on or E5. Microsoft changes these bundles, so we check your tenant before we quote.
03What does data loss prevention actually stop?
It watches for sensitive information leaving the business, such as tax file numbers, Medicare numbers, bank account and credit card details, or anything labelled confidential. Depending on the rule it shows the person a warning, asks for a reason or blocks the send, share or upload.
04Will it get in the way of normal work?
Not if it is rolled out properly. Every rule runs in test mode first so we can see what it would have caught, then we tune it before anyone is blocked. Most rules start as a warning with an option to explain why the share is needed.
05Do we need Purview before using Copilot?
You need the permissions cleaned up, and labels help. Copilot only shows people what they already have permission to open, and it honours the access rights on files a sensitivity label has encrypted. See AI security for how labels, data loss prevention and Copilot fit together.
06How much does a Purview rollout cost?
We quote a fixed price after a short review of your data, licences and what you need to protect. Ongoing alert review and policy changes can be added to your managed IT or security plan.
