Microsoft 365 is easy to switch on and easy to let drift.

Four things we find most often the first time we look at a tenant, and what we do about each.

  1. You pay for licences nobody checks

More licences than staff, Business Premium on accounts that only read email and former staff still licensed months after they left.

What we doA licence review when we start and a check every month after, with leavers removed on the day you tell us.

  2. Sign in protection has gaps

MFA is on for most people but not everyone, old sign in methods still work and nobody hears about a sign in from overseas.

What we doMFA on every account, conditional access and 24/7 identity threat detection through SecureShield.

  3. Files are shared with anyone

Links that work for anyone who has them, guests from projects that finished years ago and a new SharePoint site for every Team.

What we doSharing rules set once, guest access reviewed regularly and a site structure people can follow.

  4. There is no backup beyond the recycle bin

Exchange Online keeps deleted email for 14 days by default and 30 days at most. A mistake found in month two may be gone for good.

What we doMicrosoft 365 backup from $5 a user a month, covering email, OneDrive, SharePoint and Teams.

Talk to us

Most tenants show at least one of these. A technical consultant replies within two business hours.

What we look after

The everyday admin and security work that keeps a tenant useful, handled by our service desk and engineers under one agreement.

  • Users, access and admin

Starters, leavers, resets and access changes through our service desk. Admin access runs through Microsoft GDAP, so every change is controlled and logged.

  • Security baselines

CIS baselines, conditional access and Secure Score improvements, applied in a planned order so nobody is locked out.

  • Email security

Filtering in front of Exchange that stops phishing, impersonation and fake invoices before they reach the inbox.

  • Teams, SharePoint and OneDrive

A structure people understand, with permissions that match who should see what, plus meeting rooms and Teams Calling.

  • Laptops and phones

Devices enrolled in Intune, so a lost laptop can be locked or wiped. Included in Austin Managed and Austin Partner.

  • Backup outside Microsoft

Exchange, OneDrive, SharePoint and Teams backed up every day and kept separate from your tenant.

Get more from what you already pay for

Most businesses use a fraction of what their licences include. A technical consultant looks at how your team works, then we set Microsoft 365 up around it.

Moving from Google Workspace or old servers

Two Austin Technology consultants laughing over a laptop while they plan a change
  • Teams set up around your work

Teams and channels by client, project or department, so conversations and files stop living in email.

  • SharePoint people can find things in

File shares and old servers moved into a clear site structure. See SharePoint.

  • Forms and approvals automated

Leave, purchase approvals and onboarding moved off paper and inboxes. See automation.

  • Ready for Copilot

Permissions cleaned up first, so Copilot only surfaces what each person should see. See Copilot.

Which plan each person needs

Most businesses we meet have the wrong mix. We match each person to the plan they use, and bill licences on the same invoice as your support.

  1. Business Basic

    Web and mobile apps

Email, Teams, SharePoint and 1 TB of OneDrive, with Word, Excel and Outlook in the browser.

Staff who work mostly in email and Teams

  2. Business Standard

    Adds desktop apps

Everything in Basic plus the desktop Word, Excel, PowerPoint and Outlook.

People who live in spreadsheets and documents

  3. Business Premium

    Adds security and devices

Everything in Standard plus Intune, Defender for Business, Entra ID access controls and Purview.

Businesses that need device management and stronger security

How we take over your tenant

Most of the work happens in the background. Staff hear from us before anything changes the way they sign in.

  1. 01

    Review

Security settings, licences, sharing and backup checked, then a fix list and a fixed quote.

  2. 02

    Handover

Admin access through Microsoft GDAP, details from your current provider and the tenant documented.

  3. 03

    Fix the risks first

MFA gaps, open sharing and missing backup first. Sign in changes planned with you and explained to staff.

  4. 04

    Keep it tidy

Licences checked against your staff list and new Microsoft changes explained before they reach users.

Moving to Microsoft 365

We move email, calendars, files and Teams to Microsoft 365 from Google Workspace, an old Exchange server, another email host or another tenant. You get a fixed price, a plan your staff understand and support the morning after cutover.

Most of the copying happens in the background while your staff keep working, and the switch is usually done in an evening or over a weekend. Mailboxes are copied ahead of time and a final pass picks up anything that arrived in between. We quote a fixed price after the migration review, and Microsoft licences are billed separately.

Checked on every migration

  • Scanners, copiers and apps that send email
  • Shared mailboxes and calendar access
  • Email signatures and rules
  • SPF, DKIM and DMARC for the new service
  • Phones and tablets
  • A second sign in step for every account

Where you are moving from

  • Google Workspace

Gmail, calendars, contacts and Drive move across. Docs, Sheets and Slides become Word, Excel and PowerPoint files.

  • Exchange on your own server

Mailboxes, shared mailboxes and public folders. Exchange 2016 and 2019 went out of support in October 2025.

  • Another email host

Basic hosting often moves email only, so calendars and contacts are brought across separately.

  • Another Microsoft 365 tenant

Mailboxes, OneDrive, SharePoint and Teams. Teams chat history and meeting links need extra steps, agreed up front.

  • A file server

Folders and permissions are reviewed first, so SharePoint does not become a copy of the mess.

Not sure where your tenant stands?

Ask for a tenant review. A senior engineer checks the settings attackers look for first: MFA and admin accounts, mail forwarding and third party apps, sharing and guests, DMARC, logging, backup and unused licences.

You get every finding ranked by risk, your Secure Score now and after the fixes, a walk through and a fixed quote if you want us to do the work.

Microsoft 365 questions

What clients ask us most. Anything else, call 1300 787 429.

Two Austin Technology engineers working through a client question on a tablet
Is Office 365 the same as Microsoft 365?

For small business, mostly yes. Microsoft moved its small business Office 365 plans to the Microsoft 365 name, so people searching for Office 365 support usually mean the same thing. The business plans are now Business Basic, Business Standard and Business Premium. Some enterprise plans still carry the Office 365 name.

How much does managed Microsoft 365 cost?

Microsoft 365 management is included in our managed IT plans from $45 per person per month ex GST, with licences billed separately for the plan each person needs. Microsoft 365 backup is from $5 per user per month. A technical consultant scopes it with you and sends a fixed quote.

Does Microsoft back up our email and files?

Microsoft keeps the service running, but under its shared responsibility model your data stays your responsibility. Deleted email can be recovered for 14 days by default and 30 days at most. A separate backup covers mistakes, departures and attacks that are found after that window closes.

Can you help us get more out of Teams and SharePoint?

Yes. A technical consultant looks at how your team shares files, meets and approves work, then we set up Teams and SharePoint around it, move files across and show staff how it works. Larger changes are quoted as a fixed price project. See SharePoint.

Can we buy our Microsoft 365 licences through you?

Yes. Licences are billed on the same invoice as your support, so there is one bill and one place to add or remove people. If you already buy them elsewhere, we can still manage the tenant.

How long does it take to switch, and will staff notice?

Most staff notice very little. We take over admin access in the background, and anything that changes how people sign in, such as MFA, is planned with you and explained to staff first. Moving to Microsoft 365 from another platform is a separate migration project with its own plan.

We already have an IT person. How does this work with them?

Many of our clients have one. Your IT person keeps ownership of the business side and uses us for the service desk, security settings and the Microsoft admin work that eats their time. We agree who does what at the start, and they see the same reports you do.
