Armadale Districts Surgery moves to Microsoft 365 and keeps email encrypted
Armadale Districts Surgery is a general practice on Church Avenue in Armadale, caring for families, seniors and patients with chronic conditions. Encrypted email was the one thing it could not give up. We moved the practice to Microsoft 365, replaced its encryption add in with protection built into Outlook and refreshed its computers along the way.

01The challenge
Where Armadale Districts Surgery started
The practice relied on a Proofpoint add in for Outlook to send sensitive information securely. Add ins like that are one more thing to update and one more thing a new PC can be missing. Encryption was a hard requirement, and the practice was clear that it did not mind how we got there.
Encryption was not optional
Patient information goes to specialists, hospitals and insurers. Whatever replaced the add in had to be just as easy to use.
One shared reception login
Reception staff shared a single account, which made multi factor authentication impossible to set up properly.
Ageing PCs and Windows 10
Several computers were due for replacement and the rest needed Windows 11 before Windows 10 support ended.
02What we did
Encryption built in, not bolted on
We used what Microsoft 365 already includes, so there is nothing extra to license, update or forget.

Microsoft 365 migration
Mailboxes moved with BitTitan, Outlook profiles updated on each PC and an engineer on site for the 11am cutover on 17 March 2026.

An Encrypt (External) label
A sensitivity label that applies Microsoft Purview Message Encryption, so only the named recipients can open the email.

Reception logins
Three named reception accounts sharing one reception mailbox, ready for multi factor authentication.

Office apps brought up to date
Office 2016 removed from reception PCs and Microsoft 365 apps installed, so the encryption option appears where staff need it.

Email authentication
A DMARC record so other mail servers can tell the practice's real email from fakes.

Windows 11 refresh
Four new Lenovo PCs set up and the remaining computers upgraded in place to Windows 11.
03How we delivered it
Migrate, protect, then show people how
Step 1

New PCs and Windows 11 upgrades in mid 2025, ahead of the end of Windows 10 support.

Mailboxes moved to Microsoft 365 with a planned cutover and an engineer on site.

The encryption label created and published, reception accounts separated and DMARC in place.

Walk through it
A session with the practice manager to test encrypted email end to end, then the same setup rolled out to each reception PC.

Today
Next is multi factor authentication on every account and Entra Connect to keep passwords in step between the practice network and Microsoft 365. We visit for regular check ins and handle day to day requests for the team.
