Carers WA keeps its own IT team and adds ours behind it

Carers WA is the peak body for the estimated 320,000 unpaid family and friend carers in Western Australia. It has its own IT team and wanted to keep them. When it changed providers in April 2026, what it needed was better tools, clean documentation and senior engineers behind its people. That is how we set it up.

01The challenge

Where Carers WA started

Carers WA runs programs across the state, from Carer Gateway services to young carer support, and many of its staff work out in the community. Its internal IT team knows the organisation well. What it needed after leaving its previous provider was the platform behind that team: a service desk, device management and documentation they could use every day.

Keeping the people who know the place

Carers WA did not want to hand its IT away. It wanted a partner behind its team, not instead of it.

Years of notes in someone else's system

Passwords, network notes and procedures sat with the previous provider and had to come across intact.

Patching staff would put up with

Updates had always gone out on Wednesday afternoons with restart reminders. Changing that habit would have cost goodwill for no gain.

Their team, our platform

We onboarded Carers WA as a project, then gave its IT team access to the tools our engineers use every day, limited to Carers WA's own data.

Every laptop managed

NinjaOne agents deployed through Intune and ImmyBot, with 136 laptops now reporting in.

Patching on their rhythm

Windows updates set in NinjaOne to match the Wednesday afternoon schedule and restart reminders staff were used to.

One service desk

Staff synced from Microsoft Entra into our service desk, so both teams work from the same tickets.

Documentation that came across

The previous provider's IT Glue records imported into Hudu, with licences for the internal team limited to Carers WA.

Deployment tools shared

ImmyBot access for the internal team, so they build and fix laptops the same way we do.

Security reviews

A review of the Microsoft 365 tenant, followed by a Bitwarden rollout for shared passwords.
